Employment Opportunity: Executive Coordinator

Reporting to the Chief Operating Officer, the Executive Coordinator provides high-level administrative and technical support in the day-to-day operations of the Land Trust. A successful Executive Coordinator should be highly organized and have a versatile skill set to support a variety of different business functions with a diverse range of tasks.

Responsibilities

Executive Coordination:

  • Provide clerical support for the President and Chief Operating Officer, including but not limited to: PowerPoint creation; contract review; project research, printing, and information gathering;
  • Maintain calendar and scheduling for the President and assist with making appointments and travel arrangements as needed;
  • Communicate with the Board of Directors and the President’s Council on behalf of the President upon request;
  • Schedule, organize, prepare, and send materials for bi-monthly Board meetings, annual meeting, semi-annual Advisory Council, and yearly President’s Council meetings;
  • Take minutes for all Board of Directors meetings and any committees of the Board as necessary and appropriate;
  • Secure meeting space and refreshments for Board and President’s Council meetings;
  • Prepare, update, and maintain board orientation materials, board contact lists, bios, reference materials, and web portal;
  • With guidance from the Development team, research and organize logistics associated with special events and meetings, including options and contracts for meeting space, caterers, equipment rental, and other logistics;
  • Obtain necessary certificates, approvals, and permits for other events as needed.

Operations and HR:

  • Work with the Chief Operating Officer to onboard and offboard employees;
  • Help plan and organize staff outings and events;
  • Assist with filing and occasional secretarial support;
  • Assist with biweekly payroll reminders as well as entering and reviewing information in the payroll system;
  • Assist with yearly HR policy and procedure compliance review and maintain required employee policy postings.

Qualifications

  • Significant experience in office management; executive-level administration experience preferred;
  • Ability to plan ahead and coordinate multiple timelines; highly organized with keen attention to detail;
  • Strong computer proficiency;
  • Excellent interpersonal, written, and verbal communication skills;
  • Ability to exercise good judgment, diplomacy, and work well under pressure;
  • NYS Driver’s License required;
  • Bachelor’s Degree or equivalent experience preferred.

This full-time position is located in the Land Trust’s main office in downtown Ithaca, NY. The salary will be based on qualifications and include competitive benefits. Salary Range- $57,249-65,000.
