Employment Opportunity: Part-Time Administrative Assistant

Position Summary

Reporting to the Director of Operations, the part-time Administrative Assistant provides administrative support in the day-to-day operations of the Land Trust, including answering and directing phone calls, sorting and managing incoming and outgoing mail, filing, and some scheduling.

A successful Administrative Assistant should be highly organized and have a skill set to support various business functions and a diverse range of tasks to assist the Land Trust with its commitment to an equitable, diverse, and inclusive workplace.

Job Description

Administration:

  • Serve as initial and primary point of contact, answer phones, and greet visitors;
  • Filing and secretarial support;
  • Assist with scheduling and organizing staff meetings and activities;
  • Assist Directors with tasks as needed or requested.

Fiscal:

  • Deposit gifts/donations and rental payments into the correct financial institution in a timely manner;
  • Assist with entering deposits into QuickBooks.

Mail:

  • Open and route incoming mail;
  • Organize invoices for payment;
  • Post outgoing mail and take to the post office when necessary.

Supplies:

  • Work with all departments to maintain inventory of office supplies;
  • Research and track prices for supplies and equipment as needed;
  • Under the guidance of the Director of Operations, schedule office equipment for maintenance per service agreements.

Qualifications:

  • Ability to plan ahead and coordinate multiple timelines; highly organized with keen attention to detail;
  • Excellent computer skills, including but not limited to Microsoft Office and Excel;
  • Excellent interpersonal, written, and verbal communication skills;
  • Ability to exercise good judgment and diplomacy.

Additional Information:

This part-time position is 20 hr/wk—9:00 a.m. to 1:00 p.m. Monday through Friday—and is located in the Land Trust’s office in downtown Ithaca, NY.

Hourly rate range is between $18.45—$19.00, commensurate with experience. Potential to increase to a full-time position.
